Privacy Policy

Important This is a draft policy prepared for the Run The Village website. It has not yet been reviewed by a South African legal professional and should be reviewed for compliance with the Protection of Personal Information Act (POPIA) before real participant data is collected.

1. What we collect

We collect personal information you submit directly through our website forms, namely:

  • Email address (launch notification sign-up)
  • First name, surname and email address (completion submissions)
  • Completion date, activity link, achievement category and elapsed time
  • Any optional run story or comment you choose to share
  • Mobile number (optional) — only if you choose to provide it for finisher voucher/reward messages

2. How we use it

  • To notify you when the verified route and GPX are published.
  • To verify and administer completion submissions.
  • To publish your name, completion date and achievement on the Roll of Honour — only where you have given explicit consent.
  • To send a one-off WhatsApp or SMS message with your voucher(s) from participating local establishments, once that programme is live — only if you provided a mobile number and opted in. Your number will not be used for any other marketing purpose, and vouchers offered by third-party establishments are subject to those establishments' own terms.

We do not publish email addresses or activity links publicly unless you give us explicit separate permission to do so.

3. Where it's stored

Form submissions are processed and stored via Netlify Forms, our website hosting provider. Data is retained only as long as necessary for challenge administration.

4. Sharing your data

We do not sell or share your personal information with third parties, other than the service providers (such as Netlify) necessary to operate this website.

5. Your rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us. If you would like a Roll of Honour entry removed, we will action this promptly.

6. Cookies & analytics

This website does not currently use tracking cookies. Privacy-friendly analytics may be added in future to help us understand site usage; this policy will be updated if so.
